EXECUTIVE AND CHAIRMAN DUTIES
PRESIDENT:
- Chair all Executive and General meetings
- Set Agenda for meetings
- Ex-officio for all Committees
- Delegate Responsibilities
- President can make suggestions, have them noted, and a motion made and carried by an Executive Member (October 13th, 2009)
- The president can vote on a motion or amendment, if they declare so in advance. They also have the tie-breaking vote (August 17th, 2010)
PAST PRESIDENT
- Shall provide guidance and continuity to the Executive Committee
- Arrange and conduct meetings in the absence of the President
VICE PRESIDENT & WEBMASTER LIAISON:
- Arrange for Trophy pickup, engraving and distribution
- Work with Website Committee organizing content for the website and
submit the suggestions to the Webmaster for website publication - Produce the yearly Roster Booklets
TREASURER:
- Collect and care for all monies
- Set budgets for Committees requiring money
- Pay all bills that are incurred
- Enroll all members
- Make monthly report to General Members and Executive
MEMBERSHIP CHAIRMAN:
- Mail out applications for Membership Renewal
- Receive new Memberships and cheques
- List all members and particulars
- Arrange all particulars for completion of Website and/or Roster Book if available
- Arrange to have new Membership list forwarded to Statistician
- All nominations for Honourary Memberships must be approved by the Membership Chairman and the Executive Committee. Any monetary gifts or rewards must also be approved by the Executive (January 2026)
Honourary Membership CRITERIA: Must have 15 years as a member; 10 years on the Executive and a record of outstanding service in the club (October, 2010)
SECRETARY:
- Prepare and distribute an Agenda for all meetings
- Record Minutes of all General and Executive Meetings
- Prepare and distribute copies to all Members
TOURNAMENT CHAIRMAN:
- Arrange venue for all Tournaments including Putting Contest
- Collect money, set up teams, collect and distribute prizes
- Purchase draw tickets and conduct prize draws
HEALTH AND WELFARE CHAIRMAN:
- Arrange for cards, flowers or fruit baskets for members and spouses only – (cards for others)
- Keep abreast of Health and Welfare of all members
- Report illness and health problems of Members and Spouses to Executive and Members
SOCIAL CHAIRMAN:
- Make arrangements for Executive and Breakfast Meetings
- Arrange venue for Annual Windup
- Collect monies for spouses and non-members planning to attend the windup
- Determine and organize the program for windup
- Gather Door Prizes and arrange Entertainment for windup
STATISTICS CHAIRMAN:
- Keep all records and statistics
- Keep members informed of monthly scores and stats
- Update and manage the eHandicap Program
SPARES & TEAM SETUP CHAIRMAN:
SPARES:
- Obtain information from Team requiring Spares.
- Send email (or phone spares without email) informing them about available game and give them Team Captain Contact information
TEAM SETUP:
- Obtain information from Membership Chairman for the new season
- Arrange information in useable format for use in the Teams Generator Program
- Generate a list of Teams for the new season
- Send a copy of the New Teams to the Executive and Website Coordinator
BREAKFAST MEETING DELEGATES:
- Keep attendance records
- Distribute name tags
PRIZE DRAW DELEGATE:
- Purchase, Store and sell Prize tickets at the Breakfast Meetings
- Keep track of ticket sales and prize money payout (50/50%)
NOMINATING COMMITTEE CHAIRMAN:
- The Nominating Committee Chairman will canvas members for Executive Membership and Volunteers for different Committees
- The Nominating Committee Chairman will then present to the General Membership:
A slate for Executive Elections to be held at the September General Meeting
A recommended list of volunteers for different Committees
CLUB CHAMPIONSHIP TEAM SELECTION COMMITTEE:
- The Team Setup & Spares Chairman, along with the Statistics Chairman and the Tournament Chairman will set up the championship team and calculate final scores.
- Handicap indices as of August 31st will be used for setting the team.
- Scoring will be stroke play (i.e. best/lowest score).
- In the event of ties a count back from Hole 18 will determine the winner.
CLUB CHAMPIONSHIP PLAYERS:
- All contestants will play together and from the same tees
- Four top players and those tied will compete for Championship
- Eight eligible top players will be placed in two groups of four; ranked by handicap (1 to 8)
- In the event one or more of the four top players cannot compete for any reason; the next ranked player of the 8 will be moved up to the top four
- One of the top four will be declared the winner.
WEBSITE COMMITTEE:
- Decide on content for the website
- Suggest additional information, changes or corrections to the Executive
- Work with Website Coordinator to update Website content
MEMBERS AT LARGE:
Invited GWSG Members who are interested in joining the Executive when a position becomes available. They partake in all the Executive meetings and observe the behind-the-scene proceedings.
NOTE:
- All Executive Members are to be elected and will serve terms designated by the club for 1 or 2 years
- All Committee Chairmen will choose their own Committee Members
- The Nominating Committee Chairman will canvas members for Executive Membership and Volunteers for different Committees
